This policy explains what information FreeToolConvert (“we”, “us”) handles when you use freetoolconvert.com, why, and the choices you have. FreeToolConvert is operated by Celestial IT Verse Pvt. Ltd..

Information we collect
Account information
If you register, we store your name, email address, a securely hashed password (never the password itself), your credit balance and when you last signed in.
Payments and credits
Payments are processed by Razorpay. We never see or store your card, UPI or bank details. We store the order and payment reference, the amount, and the resulting credit transactions so we can show your history and resolve disputes.
Marriage biodata and invitation content
When you create a biodata or invitation, we store the details and photo you enter so you can edit and download it later. They remain in your account until you delete them or delete your account.
Files for server-side tools
Uploaded files and their converted results are stored privately (never in a public folder) and deleted automatically within 1 hour(s), whether or not you download the result. We keep only non-identifying job information — the tool used, file type and size, success or failure — never the file name or content.
Usage and security information
- Aggregate tool statistics — daily counts of views, conversions and downloads per tool, with no link to individuals.
- Search terms typed into the site search, stored without any user or device identifier, to improve the tool catalogue.
- Free-allowance counter — to apply the daily free limit on server tools we store a one-way hash of your IP address combined with the date. It changes every day and cannot be turned back into your IP address.
- Server logs — our hosting records requests (including IP address and browser type) for security and troubleshooting. Application logs are kept for up to 14 days.
Messages you send us
If you use the contact form or email us, we keep your name, email and message to reply and to handle follow-ups.

How we use information
- To provide the tools, your account, credits, biodata and downloads.
- To keep the service secure, prevent abuse and enforce fair-use limits.
- To respond to your messages and send essential account or payment emails (for example password resets and payment receipts).
- To understand which tools are useful and improve them, using aggregate data.
We do not sell your personal data.
Who we share information with
We share information only with service providers who help us run FreeToolConvert, and only as needed:
- Hosting — our web host stores the site, database and temporary files.
- Razorpay — to process payments.
- CloudConvert — only for files you convert in high-fidelity mode.
- Email delivery — to send account and payment emails.
- Google Analytics and Google AdSense — only if enabled on the site; see the Cookie Policy.
We may also disclose information when required by law or to protect the rights and safety of users and the service. Some providers may process data outside India.
How long we keep information
- Server-tool files: deleted automatically within 1 hour(s).
- Account, biodata and invitation content: until you delete it or your account.
- Payment and credit records: as long as required for accounting and legal obligations, even after account deletion.
- Contact messages: up to 24 months.
Your choices and rights
You can view and update your account details, download or delete saved biodata, and delete your account at any time from your account page. Under applicable law, including India’s Digital Personal Data Protection Act, 2023, you may also ask us to access, correct or erase your personal data, or raise a grievance, by emailing support@freetoolconvert.com. We will respond within a reasonable time.
Security
We use HTTPS throughout, hash passwords, keep uploaded files outside public folders, use short-lived signed download links and delete temporary files automatically. No method of transmission or storage is completely secure, but we work to protect your information.
Children
FreeToolConvert is not intended for children under 18 without the involvement of a parent or guardian. If you believe a child has given us personal data, contact us and we will delete it.
Changes to this policy
We will update this page when our practices change and revise the “last updated” date below. Significant changes will be highlighted on the site.
